Buyer problem: progress checks become manual searches

Teams may know that a matter needs attention only after somebody searches across status, activity and task context. A Smokeball Pilot tests whether a narrow set of approved cues can make that review more focused while avoiding a claim that every delay can be detected automatically.

Pilot operating pattern

Choose a recurring progress or follow-up question and define the matters included. MatterLayer can surface the agreed Smokeball cues with a reason for review. An authorised user then checks the matter context and decides whether to coordinate work, request information or dismiss the prompt.

Boundaries and limitations

The Pilot does not presume a particular integration interface, complete record coverage or permission model. Available data and configuration must be confirmed with the firm. A workflow cue is not legal advice or a risk finding, and Smokeball is not represented as a partner or endorser.

Implementation discussion

Define the source meanings, review owner, access boundary and exception path before connecting live matters. Test matters with unusual stages, incomplete activity or legitimate pauses. Give users a clear way to report a poor prompt and decide who can change the Pilot rules.

Measured Pilot outcome

Observe whether the team spends less effort assembling progress context and whether follow-up ownership becomes clearer. Count rejected, corrected and unresolved prompts alongside accepted ones. Those observations inform a rollout decision; they do not prove improved matter outcomes, reduced risk or commercial gain.
